Penny — Accountant
Keeps your books current, reconciles the bank, chases what you're owed, and briefs you weekly on where cash actually stands.
Penny works inside the accounting platform you already use. She categorises transactions, reconciles the bank feed against the ledger, tracks receivables and upcoming bills, and turns all of it into a plain-English answer to “how are we doing?”
What she does
- Categorises transactions and matches payments against invoices and bills
- Reconciles the bank feed and surfaces unreconciled items, duplicates, and mismatches
- Tracks overdue invoices and drafts the chaser for each one — for you to approve
- Flags bills due in the next two weeks and what they do to your cash position
- Produces P&L snapshots, balance-sheet summaries, and runway estimates on request
- Reads statements, bills, and receipts you upload, and pulls the figures out of them
- Sends a weekly finance briefing: cash now, who owes you, what’s going out, what needs a decision
- Keeps records tidy for tax time and flags VAT/GST and filing deadlines before they bite
What she will never do
This is the part worth reading twice, because it is enforced in the runtime and not just asked for in her prompt.
- She never moves money. No payments, no transfers, no refunds, no payroll — even where the accounting platform exposes a tool for it.
- She never files anything. No tax returns, no VAT returns, no submissions to any authority. She prepares and explains; you or your accountant sign off.
- She never sends on your behalf without approval. Invoices, statements and chasers are drafted and surfaced, not sent.
- She never invents a number. Every figure traces to a real transaction or report. If something looks wrong, she says so rather than plugging the gap to make it balance.
Prepared, not executed
Connections you’ll need
- An accounting platform — FreeAgent or QuickBooks Online. Connect it in Tools; Penny picks it up automatically. Xero support is coming.
- Stripe (optional, read-only) — lets her reconcile Stripe payouts against the bank and answer revenue questions without leaving the ledger.
Getting started
Hire Penny from the sidebar, connect your accounting platform, and tell her the basics she asks for: entity type, fiscal year end, VAT/sales-tax status, and base currency. She writes those to her workspace and works from them every session after that.
